MyResearch Projects System Improvements

Application Status will update to Successful on Project Approval	All MyResearch Projects users	Project, Internal Portal, External Portal	27/08/2025	When a research application is approved by the Head of Unit, the linked application will automatically update to “Successful,” making it easier to track progress and reflect real-time updates.
Agreement ID to Display in Decision for Signing Delegate	Research Office, Operations Team	Project, Internal Portal	27/08/2025	The Agreement Number will now display in Decisions and Agreements for Signing Delegate, helping you match decisions to agreements faster and with fewer errors.
Project Status sets to “New” when Agreement Dates change	Research Office staff using MyResearch Projects	Project, Internal Portal	27/08/2025	When an internal portal user changes the Agreement Dates for an Agreement, the status will remain “New” instead of incorrectly switching to “Acceptance of Offer Pending.”
Applicants will only see members with project-related roles listed in Groups	External Portal users	Groups, External Portal	10/09/2025	For improved privacy, the external portal will only show staff and advisers with a direct project role in applications and projects.
Search contacts by name and email	All MyResearch Projects users	Applications, External Portal	10/09/2025	In Applications > Project Team, you can search for a contact by entering a name or email address, with results automatically appearing as you type, making it easier to select the right person. You will still need to add people who are not UQ staff manually.

MyResearch Internal Portal UI Updates

From 5 November 2025, F1 Solutions, the vendor of MyResearch Projects, has updated the Internal Portal to improve usability, readability, and consistency for all users. Key improvements include simpler navigation, cleaner layout, streamlined searches, and an interactive in-system tutorial to guide you through the changes.

The New User Experience Guide document details the changes and shows the before and after view with a single click.

MyResearch Grants Pilot: MRFF 2025 Maternal Health and Healthy Lifestyles

The MRFF 2025 Maternal Health and Healthy Lifestyles has been selected as the second MyResearch Projects Grants Pre-Award Pilot round.

This round is included in the MyResearch Pre-Award Grants Pilot, which means NOI submissions will now occur through MyResearch. We will be sharing a mailer with the broader UQ community on 4 November 2025 to confirm this update.

The pilot will assist in identifying gaps in the MyResearch system, communication and training.

What’s happening

Pilot focus

The Notice of Intent and Funding Application Certification (FAC) form will be replaced with an in-system version (“MyResearch Application”) in the Applications section of MyResearch.

It’s important that we test the NOI functionality in the system. We understand this may result in duplicated effort given you have already completed your NOI, and we apologise for the inconvenience. NOIs will open in MyResearch 4 November.

Heads of Units will be required to review and approve the in-system version (“application”) within MyResearch, rather than signing the word document.
