MyResearch Grants Pilot
You may have already heard about, or even taken part in, recent MyResearch Projects Grants Pilot rounds for selected Grant schemes. We’re pleased to share that the following schemes have now been confirmed as the next Grants Pre-Award Pilot rounds in MyResearch Projects:
MRFF Genomics Health Futures 2025: 12 January 2026 – 4 February 2026
Fight MND: 12 January 2026 – 9 February 2026
ARC Linkage: 15 January 2026 – 18 March 2026
UQ Researchers will receive an email from MyResearch Projects advising that these schemes are part of the pilot and outlining what this means for them.
These pilot rounds are an important step in helping us test and refine MyResearch Projects, identify any system, communication or training gaps, and ensure the best possible experience ahead of broader rollout.

Pilot focus
The Funding Application Certification (FAC) form will be replaced with an in-system version (“MyResearch Application”) in the Applications section of MyResearch.
Local Research Support will receive system generated notifications to their email to provide feedback on the in-system version of the FAC (“application”) within MyResearch.
Heads of Units will receive system generated notifications to their email be required to review and approve the in-system version of the FAC (“application”) within MyResearch, rather than signing the word document.
Local Research Support and Research Office to use MyResearch dashboards to communicate application and post-submission data.
The ARC Linkage Pilot will help test how application data flows from the ARC Research Management System into MyResearch Projects. Researchers will simply need to enter their ARC Linkage ID. Key details, including the budget, will be automatically imported into the MyResearch Application (as long as the applicant is a UQ staff member and UQ is the Lead Institution).

What this means for you
Depending on your role, you will have tasks to perform in the MyResearch system, for example:
Local Research Support – support the Researcher in completing the application (FAC) in MyResearch Application and Head of Unit during the Grant round.
Head of Unit Advisor – After the application (FAC) is submitted by the Researcher, you will be notified to leave a message for the Head of Unit with any relevant information.
Head of Unit – you will need to approve the full application (FAC) in MyResearch.

Items for noting relevant to this Pilot
In MyResearch, the only in-system steps at Pre-Award is completing and approving the system-based Application (FAC).
All other grant round activities happen outside MyResearch via email with the Research Office and in the grantor’s portal (e.g. Sapphire).
To start an application review, the applicant should email the Research Office advising that their application is ready for review. There’s no need to attach the application (FAC) downloaded from MyResearch.
Head of Unit (HoU) approval remains a mandatory step in the application process, completed through MyResearch.
Any UQ staff member with a current UQ employment contract can help prepare an application (FAC) in MyResearch Projects. However, only the Lead CI will be able to submit the application to the Research Office.
The Lead CI must be a UQ staff member with a current UQ staff employment contract to submit an application. If you are aware of an applicant who is transferring to UQ and will be applying, please contact the MyResearch team as soon as possible.
Students cannot complete or submit funding application forms in MyResearch Projects – see Administration of Research Funding - Applications, Grants and Contract Research Policy
Head of Unit (HoU) approvals in MyResearch are based on delegations drawn directly from Workday, and the MyResearch system relies on the accuracy of Workday information.
MyResearch automatically sends the research funding application to the HoU of the administering unit for approval, unless the HoU is a named on the application as part of the research project team. In this case, the next delegation is the Faculty Dean and they will be sent the approval.
The HoU Advisor for all units associated with the application (i.e. including units of co-CIs) will receive a system generated notification to provide commentary to the Head of the administering Unit. There is no requirement for all HoU Advisors to comment.

MyResearch Recent Key Changes
Notice of Intent Changes
The Notice of Intent (NOI) requirement for Contract Research and Consultancy Applications in MyResearch Projects will be removed based on growing feedback that the current two-stage process created unnecessary administrative effort without adding meaningful benefit. We listened, and this change represents a significant simplification of the workflow.
Removing the NOI step will reduce duplication, streamline the application process, and support faster turnaround times, while still maintaining appropriate governance and oversight.
We will share additional guidance once the system update is live.
Easier Project Chart Strings
Good news! As of Wednesday 5 November, the Project Chart Strings form in MyResearch has been given a refresh to make it simpler and easier to use.
Here’s what’s new:
- A handy Chart String Information area now highlights what’s required and links to the process for requesting additional or split projects.
- The Split Sites section has been removed.
- The Short Description field has moved just below the Site Code for better flow.
- For Consultancy projects, the label ‘ACA account’ is now called ‘Existing chart string’ when using existing chart strings.
These changes improve the look and feel of the form, but don’t affect any existing processes or data submission to UniFi.

MyResearch Internal Portal UI Updates
From 5 November 2025, F1 Solutions, the vendor of MyResearch Projects, has updated the Internal Portal to improve usability, readability, and consistency for all users. Key improvements include simpler navigation, cleaner layout, streamlined searches, and an interactive in-system tutorial to guide you through the changes.
