Transition of Grant Applications into MyResearch Projects
From March 2026, the Research Office is sequencing competitive research grant schemes into MyResearch. A sequenced approach is being used to:
- Reduce pressure for the research community (researchers, research professionals, Heads of Units)
- Reduce pressure for the Research Office, the RMS HelpDesk and the MyResearch Project team
- Allow time to train and upskill expert users in Faculties and Institutes (more details to follow)
Which schemes are transitioning?
Please see the Research Office website to identify which schemes are transitioning in this sequenced roll-out.
- If the scheme you are interested in applying for is not there, please continue to use the paper-based Funding Application Certification process and, of course, the funder’s portal (e.g. NHMRC Sapphire, ARC RMS, etc).
What changes and what stays the same?
- The Funding Application Coversheet is submitted, considered, and approved through the MyResearch system, instead of through a Word Document
- MyResearch does not replace broader grantor/university requirements
- Notices of Intent and Research Office grant craft, eligibility and compliance reviews will continue to occur outside the system
- Submitting the Funding Application Coversheet through MyResearch does not replace submitting a grant to the funder through their systems.
What this means for you
Depending on your role, you will have tasks to perform in the MyResearch system, for example:
- Local Research Support – support the Researcher in completing the application (FAC) in MyResearch Application and Head of Unit during the Grant round.
- Head of Unit Advisor – After the application (FAC) is submitted by the Researcher, you will be notified to leave a message for the Head of Unit with any relevant information.
- Head of Unit – you will need to approve the full application (FAC) in MyResearch.
How to access and complete a Certification in MyResearch
- Log in here: Welcome - MyResearch Portal
- Use the “UQ Staff and Students Sign In” button
- On the right-hand side of the home screen, you will see a heading for “Projects” with an “Apply now” button
- Click the apply now button
- Add your application title
- Click “Done”
- This will take you to the form to complete
- Select “Competitive Research Grant”
- Select your round from the drop down and fill in the form
- Any staff member can fill in the form, but only the Lead CI can certify and submit. Please make sure to add the correct Lead CI through the search function. Using the free text field will mean that the Lead CI will not have proper access and certification issues.
- Once the Lead CI certifies and submits, the certification form will route to local research support and Head of Department for review
- Please note, submission of the Funding Application Certification form does not trigger Research Office review of your application – you will need to email the relevant Pre-Award team to initiate review
Please be aware that your local unit might have specific preferences about when you should fill out this form during the application process, and they may also require certain attachments.
Changes to the Certification form after CI submission to Head of Department
While completing the form, please aim for accuracy. However, note that the project details provided are indicative, we understand that changes may arise during drafting or funder review.
If amendments are required after submission of the certification form, your Head of Department will need to return the form to you. To avoid unnecessary delays, please minimise changes after certification and submission wherever possible
Some Tips for Noting
- To start an application review, the applicant should email the Research Office advising that their application is ready for review. There’s no need to attach the application (FAC) downloaded from MyResearch.
- Head of Unit (HoU) approval remains a mandatory step in the application process, completed through MyResearch.
- Any UQ staff member with a current UQ employment contract can help prepare an application (FAC) in MyResearch Projects. However, only the Lead CI will be able to submit the application to the Research Office.
- The Lead CI must be a UQ staff member with a current UQ staff employment contract to submit an application. If you are aware of an applicant who is transferring to UQ and will be applying, please contact the MyResearch team as soon as possible.
- Students cannot complete or submit funding application forms in MyResearch Projects – see Administration of Research Funding - Applications, Grants and Contract Research Policy
- Head of Unit (HoU) approvals in MyResearch are based on positions drawn directly from Workday, and the MyResearch system relies on the accuracy of Workday information.
- MyResearch automatically sends the research funding application to the HoU of the administering unit for approval, unless the HoU is a named on the application as part of the research project team. In this case, the next delegation is the Faculty Dean or Provost and they will be sent the approval.
- The HoU Advisor for all units associated with the application (i.e. including units of co-CIs) will receive a system generated notification to provide commentary to the Head of the administering Unit. There is no requirement for all HoU Advisors to comment.

MyResearch Recent Key Changes
Notice of Intent Changes
The Notice of Intent (NOI) requirement for Contract Research and Consultancy Applications in MyResearch Projects will be removed based on growing feedback that the current two-stage process created unnecessary administrative effort without adding meaningful benefit. We listened, and this change represents a significant simplification of the workflow.
Removing the NOI step will reduce duplication, streamline the application process, and support faster turnaround times, while still maintaining appropriate governance and oversight.
We will share additional guidance once the system update is live.
Easier Project Chart Strings
Good news! As of Wednesday 5 November, the Project Chart Strings form in MyResearch has been given a refresh to make it simpler and easier to use.
Here’s what’s new:
- A handy Chart String Information area now highlights what’s required and links to the process for requesting additional or split projects.
- The Split Sites section has been removed.
- The Short Description field has moved just below the Site Code for better flow.
- For Consultancy projects, the label ‘ACA account’ is now called ‘Existing chart string’ when using existing chart strings.
These changes improve the look and feel of the form, but don’t affect any existing processes or data submission to UniFi.
MyResearch Projects System Improvements
| Improvement | Audience | System Area | Effective Date | Description |
|---|---|---|---|---|
| Chart String form updates | Local Finance | MyResearch Portal | 5/11/2025 |
|
| Updates to the Create Establishment Form | Internal Portal Users, Local Research Support, Researchers | Project Establishment - Internal Portal and MyResearch Portal | 5/11/2025 |
These updates improve consistency across MyResearch. |
| Search contacts by name and email | All MyResearch Projects users | Applications, MyResearch Portal | 10/09/2025 | In Applications > Project Team, you can search for a contact by entering a name or email address, with results automatically appearing as you type, making it easier to select the right person. You will still need to add people who are not UQ staff manually. |
| Applicants will only see members with project-related roles listed in Groups | External Portal users | Groups, MyResearch Portal | 10/09/2025 | For improved privacy, the external portal will only show staff and advisers with a direct project role in applications and projects. |
| Project Status sets to “New” when Agreement Dates change | Research Office staff using MyResearch Projects | Project, Internal Portal | 27/08/2025 | When an internal portal user changes the Agreement Dates for an Agreement, the status will remain “New” instead of incorrectly switching to “Acceptance of Offer Pending.” |
| Agreement ID to Display in Decision for Signing Delegate | Research Office, Operations Team | Project, Internal Portal | 27/08/2025 | The Agreement Number will now display in Decisions and Agreements for Signing Delegate, helping you match decisions to agreements faster and with fewer errors. |
| Application Status will update to Successful on Project Approval | All MyResearch Projects users | Project, Internal Portal and MyResearch Portal | 27/08/2025 | When a research application is approved by the Head of Unit, the linked application will automatically update to “Successful,” making it easier to track progress and reflect real-time updates. |
