MyResearch Recent Key Updates

Notice of Intent Changes

The Notice of Intent (NOI) requirement for Contract Research and Consultancy Applications in MyResearch Projects will be removed based on growing feedback that the current two-stage process created unnecessary administrative effort without adding meaningful benefit. We listened, and this change represents a significant simplification of the workflow.

Removing the NOI step will reduce duplication, streamline the application process, and support faster turnaround times, while still maintaining appropriate governance and oversight.

We will share additional guidance once the system update is live.

Easier Project Chart Strings

Good news! As of Wednesday 5 November, the Project Chart Strings form in MyResearch has been given a refresh to make it simpler and easier to use.

Here’s what’s new:

A handy Chart String Information area now highlights what’s required and links to the process for requesting additional or split projects.
The Split Sites section has been removed.
The Short Description field has moved just below the Site Code for better flow.
For Consultancy projects, the label ‘ACA account’ is now called ‘Existing chart string’ when using existing chart strings.

These changes improve the look and feel of the form, but don’t affect any existing processes or data submission to UniFi.

Agreement ID to Display in Decision for Signing Delegate	Research Office, Operations Team	Project, Internal Portal	27/08/2025	The Agreement Number will now display in Decisions and Agreements for Signing Delegate, helping you match decisions to agreements faster and with fewer errors.
Project Status sets to “New” when Agreement Dates change	Research Office staff using MyResearch Projects	Project, Internal Portal	27/08/2025	When an internal portal user changes the Agreement Dates for an Agreement, the status will remain “New” instead of incorrectly switching to “Acceptance of Offer Pending.”
Applicants will only see members with project-related roles listed in Groups	External Portal users	Groups, External Portal	10/09/2025	For improved privacy, the external portal will only show staff and advisers with a direct project role in applications and projects.
Search contacts by name and email	All MyResearch Projects users	Applications, External Portal	10/09/2025	In Applications > Project Team, you can search for a contact by entering a name or email address, with results automatically appearing as you type, making it easier to select the right person. You will still need to add people who are not UQ staff manually.
Updates to the Create Establishment Form	Internal Portal Users, Local Research Support, Researchers	Project Establishment - Internal Portal and External Portal	5/11/2025	• Internal Portal users will notice more consistent terminology across funding types: the terminology “Create Establishment” will be applied to the internal project management stage for both Contract Research and Consultancy. • Researchers and Local Research Support will notice the Ethics questions in the Create Establishment form have been reworded for clarity. These updates improve consistency across MyResearch.

MyResearch Internal Portal UI Updates

From 5 November 2025, F1 Solutions, the vendor of MyResearch Projects, has updated the Internal Portal to improve usability, readability, and consistency for all users. Key improvements include simpler navigation, cleaner layout, streamlined searches, and an interactive in-system tutorial to guide you through the changes.

The New User Experience Guide document details the changes and shows the before and after view with a single click.

MyResearch Grants Pilot: MRFF Genomics Health Futures 2025

The MRFF Genomics Health Futures 2025 scheme has been selected to participate in the MyResearch Pre-Award Grants Pilot, which means Funding Application Certification (FAC) forms will be submitted through MyResearch.

The purpose of this pilot is to help identify and address any gaps in the MyResearch system, as well as communication and training needs, to better support Researchers moving forward.

Pilot focus

The Funding Application Certification (FAC) form will be replaced with an in-system version (“MyResearch Application”) in the Applications section of MyResearch.

Heads of Units will be required to review and approve the in-system version (“application”) within MyResearch, rather than signing the word document.

Pilot participants

All Researchers interested in MRFF Genomics Health Futures 2025 scheme, and their Heads of Unit, Head of Unit Advisor and Local Research Support across UQ.
